Ashuda — Privacy Policy

1. Information We Collect

Ashuda collects information you provide directly, including:

• Account information (email address, business name, contact details)
• Financial data you import or enter (revenue, expenses, bank statements, credit card statements)
• Inventory data (item counts, vendor information, invoices, recipes)
• Audio recordings submitted for voice-based inventory counting
• Documents and images uploaded for processing (mail, invoices, receipts)

2. Third-Party Integrations

QuickBooks Online: When you connect your QuickBooks account, Ashuda accesses your financial data (Profit & Loss statements, account balances) via Intuit's OAuth 2.0 protocol. We do not store your QuickBooks username or password. Access tokens are stored securely and used only to retrieve data you have authorized. You may disconnect at any time.

Clover POS: When you connect Clover, Ashuda accesses sales data, menu items, and order history via Clover's REST API using merchant-provided API tokens.

3. AI Processing

Ashuda uses artificial intelligence services to provide features including:

• Voice transcription: Audio recordings are sent to OpenAI's Whisper API for speech-to-text conversion.
• Data parsing and analysis: Text, transcripts, and financial data are processed by Anthropic's Claude API for classification, recommendations, and natural language understanding.
• Document analysis: Uploaded images and PDFs are processed by AI for data extraction (invoice parsing, mail classification).

AI providers (OpenAI, Anthropic) process data according to their respective privacy policies. Data sent for AI processing is used solely for generating responses and is not used to train AI models.

4. Data Storage

Your data is stored using the following services:

• Supabase (cloud database): Inventory data, location hierarchies, count sessions, and vendor mappings are stored in a PostgreSQL database hosted by Supabase with row-level security.
• Local browser storage: Financial data, settings, and preferences are stored in your browser's localStorage for fast access.
• Vercel (hosting): The application is hosted on Vercel's infrastructure with encrypted environment variables.

All data transmission uses HTTPS encryption.

5. How We Use Your Information

We use your information solely to: (a) provide financial tracking, inventory management, and reporting features; (b) display your business data within the application; (c) generate AI-powered insights, forecasts, and recommendations for your business.

6. Data Sharing

We do not sell, trade, or rent your personal or financial information to third parties. We may share information only: (a) with your explicit consent; (b) with service providers necessary to operate the application (Supabase, Vercel, OpenAI, Anthropic, Intuit, Clover); (c) to comply with legal obligations; (d) to protect the rights and safety of Ashuda and its users.

7. Data Security

We implement reasonable security measures including encrypted data transmission (HTTPS), row-level security policies on database tables, encrypted environment variables, and OAuth 2.0 for third-party integrations. However, no method of electronic storage is 100% secure.

8. Your Rights

You have the right to: (a) access your data within the application; (b) request deletion of your data; (c) disconnect third-party integrations at any time; (d) export your data from the application.

9. Children's Privacy

Ashuda is not intended for use by individuals under the age of 18. We do not knowingly collect information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy within the application.
